Whether you're launching annual assessments for the first time or reissuing previous ones, it's important to test or review your process ahead of time to ensure everything runs smoothly.
Here are some key points to consider:
1. Email Templates
- Clarity and Relevance: Ensure that email templates are clear and appropriate for your audience. You can use the system default wording or customize the template to include specific instructions and contact details for the current rollout. This applies to:
- Initial response emails
- Due/overdue reminder emails
2. Assessment Questions
- Accuracy: Review the wording of assessment questions to ensure they are clear, concise, and accurate.
- Relevance: Check that all relevant questions are included in the template. Remember to add any new questions that were created since last year's assessments.
- Configuration: Confirm that the question configurations are correct, such as additional information, document filing and default respondents.
3. Links and Contacts
- Update Information: Ensure that all links, contact details, and resources provided in the emails and assessments are current and functional.
4. Assessment Configuration
- Staging Setup: Verify that the staging is configured correctly before sending out the assessments.
- Review Process: Decide whether you want every assessment to be reviewed, only those that fail or not be reviewed at all.
5. The Assessment Wizard
- Preparation: The wizard cannot be saved and may time out if left inactive for a period, so make sure you have all the necessary information at hand before starting. Test runs are encouraged, but avoid clicking “complete” during these tests to prevent sending assessments prematurely.
- Target Group: Identify if you need to issue the assessments to a specific group of individuals. Additional tagging can be applied using additional data fields.
6. Assessment Alignment
- Consistent Timing: Use the "Valid from" date option to ensure that all assessments align and begin on the same day, preventing discrepancies caused by differing start times.
- Default expiry date: Set the default expiry date to ensure all assessments are align for next year's roll out.
7. Support
- Availability: We recommend scheduling a call when sending out your assessments to address any questions that may arise during the rollout.
By following these best practices, you can ensure that your annual assessments are effective and efficient. Always plan ahead and test your process to minimize any disruptions during the rollout.
